Executive Administrative Assistant - AI SOC
Job Description
The Executive Administrative Assistant will partner with the Vice President and General Manager of AI SOC Division to provide high-level executive support. This role requires exceptional organizational skills and the ability to manage diverse responsibilities efficiently. You will be responsible for, but not limited to: Calendar Management: Organize and manage complex scheduling, optimizing the executives time and planning meetings effectively. Travel Coordination: Arrange travel plans and prepare detailed expense reports.Event Coordination: Play a critical role in organizing and sometimes leading departmental and quarterly events, as well as recognition programs.Communication: Exercise diplomacy, tact, and sound judgment when interacting with employees at all levels, administrative staff, and external partners.Office Management: Understand office management procedures and departmental/legal policies, working closely with senior and executive administrative staff as a productive team member.Confidentiality: Maintain a high degree of professionalism and confidentiality in all interactions and tasks.Behavioral traits that we are looking for: Interpersonal Skills: Excellent interpersonal skills with a demonstrated ability to maintain confidentiality.Organizational Skills: Effective organizational skills to enhance administrative processes.Teamwork: Proven ability to build strong relationships within and outside the department to support the organization effectively.Problem-Solving: Positive attitude with experience in problem-solving, decision-making, initiative, and independent follow-up.Communication: Strong verbal and written communication skills with a customer service orientation.Professionalism: Comfortable interacting professionally with all levels of executives, both internally and externally.Proactive: Recognize potential issues in advance and proactively mitigate them creatively.Adaptability: Manage multiple priorities, re-prioritize as necessary, and work comfortably in a fast-paced, dynamic environment.Independence: Self-starter who can work with minimal supervision and direction, comfortable with ambiguity.Discretion: Manage sensitive and confidential information discreetly. Global Team: Assignments may require working within a globally dispersed team. Performance: Maintain a high level of performance and composure while managing a large quantity of diverse responsibilities.Qualifications
Minimum Qualifications:Bachelor's Degree with 10+ years of equivalent experience working as a Executive Administrative Assistant.5+ years of experience in organization/project management skills.5+ years of experience in standard business software such as MS Office including Outlook, Word, Excel and PowerPoint.Inside this Business Group
